Job Description
About Ready Set:
- We weave AI and technology throughout our operations to enhance human creativity, not replace it
- We produce high-quality creative that stops the scroll and achieves sustainable growth
- We optimize advertising across all digital channels for consistency and performance
- We use data to inspire and refine creative concepts that drives continued efficiency across channels
The Head of Project Management is the designer and master orchestrator of our production engine. While Operations Excellence designs the theoretical framework, you own the results and the reality of the field. Your mission is to ensure that every project at Ready Set is delivered with surgical precision, on time, and within budget.
You don't just follow the system; you are the primary feedback loop that makes it evolve. You understand the specific needs of the teams and collaborate with Ops Ex in building the next generation of systems. You are responsible for operational discipline, resource scaling, and the flawless execution of our world-class ad production.
You will act as a mentor to our PM team, ensuring that we reliably achieve success for our clients. You are the bridge-builder who aligns Creative, Media Buying, the Creative Supply Chain, and Account teams, ensuring that as we scale, our quality and speed never falter.
Key Responsibilities
- Process Architecture & Standardization: Design, implement, and enforce global PM methodologies across all accounts. You will turn "winging it" into a science, ensuring every project follows a repeatable, high-efficiency lifecycle.
- Team Leadership & Mentorship: Serve as the direct manager and technical expert for the Project Management team. You will be responsible for their professional growth, performance tracking, and resource leveling.
- Cross-Departmental Alignment: Act as the primary "bridge" between departments. You’ll work closely with the Creative and the Creative Supply Chain heads to remove bottlenecks, resolve resource conflicts, and ensure deadlines are respected across the board.
- Operational Excellence: Oversee the high-level health of project portfolios. While you won't manage day-to-day client emails, you will step in to mitigate high-level risks and optimize the internal onboarding and delivery workflows.
- Tooling & Automation: Own the tech stack (Monday.com, Slack, SCF, etc.), ensuring workflows are automated where possible and data-driven insights are used to improve team velocity.
The Profile:
- 100% Process-Obsessed: You believe that a creative agency only thrives when it has rock-solid guardrails. You have a proven track record of implementing PMO-level standards in fast-paced environments.
- Agency Veteran: You understand the unique chaos of marketing and ad production. You know how to manage the "urgent vs. important" dance and can speak the language of both designers and account executives.
- A true manager: You are a leader who enjoys coaching others on technical PM skills, conflict resolution, and timeline management.
- Strategic Problem Solver: You don’t just fix a late project; you fix the process that allowed the project to be late in the first place.
- A connector: You live in the crossroads of all the execution teams and help everyone get connected and in sync.
Qualifications
- Experience: 7+ years in Project Management, with at least 3+ years in a leadership role within a marketing or ad production agency.
- Technical Mastery: Advanced expertise in Monday.com (or similar enterprise-level PM tools), Slack, and Google Workspace. Experience with resource management and capacity planning software is a must.
- Proven Impact: A portfolio of success stories where you successfully standardized workflows or improved delivery margins across a multi-team organization.
- Communication: Exceptional ability to translate complex operational needs into simple, actionable steps for diverse teams.
Core Competencies
- Structural Thinker: You see patterns and dependencies where others see chaos.
- Assertive & Diplomatic: You can hold teams accountable to deadlines while maintaining a culture of kindness and collaboration.
- Adaptable Leader: You thrive in a startup environment and can build the plane while flying it, but you never lose sight of the long-term blueprint.
