Position Overview
We are seeking a detail-oriented and organized Client Operations Coordinator to support our operations team in servicing a major client account. This role serves as the central point of coordination for all influencer and talent vetting requests, ensuring strict compliance with client standards throughout the talent lifecycle. The ideal candidate will monitor all vetting workflows while providing critical operational support to both Client Operations and Business Affairs teams.
This is a hybrid role, based in any of our US offices—including New York City, Boston, Chicago, Carmel, Lambertville, or San Francisco—or remotely within the US, depending on team and business needs.
Key Responsibilities
Talent Vetting & Monitoring
- Manage intake and prioritization of all incoming influencer/talent vetting requests
- Conduct comprehensive vetting of influencers and talent partners according to established client rubrics and compliance standards
- Monitor talent social media accounts during contract terms and prescribed periods thereafter
- Document vetting findings and compliance assessments with accuracy and attention to detail
- Flag potential risks or concerns and escalate appropriately to senior team members
Database & Systems Management
- Maintain and update all client talent records in Airtable with meticulous accuracy
- Ensure data integrity and implement quality control measures across client databases
- Generate reports and extract insights from Airtable for internal and client-facing needs
- Develop and maintain workflow trackers to keep all stakeholders informed
Cross-Functional Support
- Provide operational support to Client Operations and Business Affairs teams as needed
- Participate in process improvement initiatives and contribute innovative solutions
- Help translate updated client standards and requirements into actionable workflows
- Collaborate with team members to streamline operations and enhance efficiency
Client Communication & Coordination
- Act as a liaison between internal teams, client stakeholders, and legal representatives
- Participate in client calls to align on vetting standards, compliance requirements, and operational updates
- Communicate findings and recommendations clearly to both internal and external stakeholders
Qualifications
Required:
- Bachelor's degree in Communications, Marketing, Business, or related field
- 2-3 years of experience in social media monitoring, influencer marketing, brand safety, or related operations roles
- Proven ability to manage multiple concurrent requests and prioritize effectively
- Exceptional attention to detail with strong analytical and critical thinking skills
- Excellent written and verbal communication skills
- Advanced proficiency in Microsoft Excel, Word, PowerPoint, and Outlook
- Experience with project management and database tools (Airtable experience highly preferred)
- Demonstrated ability to work independently while contributing to a collaborative team environment
Preferred:
- Familiarity with influencer marketing industry standards and FTC guidelines
- Experience working with brand safety or compliance frameworks
- Knowledge of social media platforms and content monitoring best practices
- Process improvement or operational excellence experience

Pay Range: $55,000-$61,750
This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on job-related, non-discriminatory factors including but not limited to work experience, skills, certifications, and geographical location. Working with Real HART: Since the pandemic, we have adapted to how our people told us they want to work. We have office locations in cities in the US, UK, and Europe with many employees and clients that serve as hubs where and when they need us. For employees who are within an hour of one of our offices, we expect attendance in the office two days per week, either at a Real Chemistry office or onsite with clients. We are also actively opening new office locations, so if one opens near you, our Real HART policy will apply.
